Standard Operating Procedure (S.O.P.)

- The MSF Rules of Professional Conduct should be followed at all times while on campus. Whether coaching or just passing through, violations of these rules will not be tolerated.
- Weekend classes of 24 will begin lecture promptly at 6:00 p.m. on Friday evenings. The range portion will begin promptly at 7:00 a.m. on Saturday and Sunday. Preparing the range for class and putting things away/cleaning up is the responsibility of ALL RCs. ALL RCs are expected to arrive early enough to help prepare for class and should stay until everything is put away and cleaned up. If a RC will be late, the site coordinator must be notified in advance.
- The RC team for each class is responsible for making sure all paperwork is completed and that the site coordinator is notified of any low inventory, or problems. The RC that completes and verifies the paperwork should sign the bottom of the class roster.
- Student Info Sheets and Class Roster: Make sure ALL student info sheets include a Driver's License number.
The class roster should include the coaches for the weekend, attendance checked for the students, a Driver's License number for every student, the skills and knowledge test scores for each student, and pass/fail clearly marked.
- Stand Bys: If a student identifies themselves as a “stand by” on Friday evening, take their name and the time of their arrival. If there is a “no show” the “Stand By” may participate in class. The students enrolled in class will have until the end of the first training aid to assure their seat in the class. If a registered student arrives after the end of the first training aid, they will not be allowed to participate in the class. Please note – enrolled students received a letter prior to class stating “Late arrivals will be dismissed.”
Please find out if the “stand by” is already enrolled in a later class or not. Contact the site coordinator with the student’s name and which class they are registered for so that we can confirm they have paid. If they have not registered and paid, then we will hold their completion cards until they register for class and pay during normal business hours. Their cards should be left in the course packet in the cabinet so that the Workforce Development office will have them.
- Assigning morning/afternoon groups: This is up to the RC Team. Traditionally we just have the students come sign up at the first break. Some coaches like to ask first if someone needs a specific group. Either is fine. The students receive a letter indicating they need to be prepared to attend either one. If students arrive early and inquire about needing one or the other, you might give them consideration. There is no perfect way to handle this so do what works best for you.
- To secure parking lot H, the chain located at the “No Parking” signs should be pulled across the entrance to the parking lot on Friday evening and taken down on Sunday after the class completion.
- Please contact the site coordinator if towing is needed. Contact information is posted in the container. If there are cars in the lot when you leave on Friday evening, please contact the site coordinator at that time and let them know so that we can be prepared to have a towing company on stand by for the morning.
- After the completion of the course, all paperwork will be left in the storage cabinet located in the classroom. – The BRC Wrap Up is posted inside the storage cabinet. This is just an outline of the things that should be covered during a wrap up, but do what works for you. Just make sure the key items are covered.
- Materials located in the storage cabinet should be inventoried at the end of each class. The Office of Workforce Development or the site coordinator should be notified by one of the RCs the next business day as to any items with a low inventory.
- Class participants are required to wear protective stockings (located in the container) when wearing helmets provided by NRCC. It is acceptable for them to wear their own bandana or "dew rag" but they should not wear a baseball cap underneath the helmet.
- A cooler for ice water and a cooler for ice only will be left in the classroom. It is now the responsibility of the coaches to get ice for both coolers. Both should be initially filled from the large ice maker on the first floor of Martin Hall. There is a key on the key chain. You should plan to do this early on Friday evening before Security locks the upper doors on Rooker Hall. The water cooler can be filled in the janitor’s closet located between the restrooms on the lower level of Rooker Hall. Please remove the hose and fill the water cooler directly from the faucet located on the wall. Do not fill the cooler using hose. A key to the janitor’s closet is located on the key chain. If some ice is needed during the class you should get it from the large ice machine in Martin Hall. After class, empty the coolers and return them to the classroom. Consider reloading the cups for the next class.
- Before leaving each day, remove all trash from inside the container and also around the canopy. Also, ask the students not to put trash in the metal hoppers located near Rooker Hall. These hoppers are for the metals used in the welding classes. Please be considerate of your fellow coaches and put a trash bag in the trash can before leaving. This is a common courtesy that is expected!
- Return all items in the container to the location found. Likewise, tools should be returned to the tool box as they were found. The range materials may be left on the wagon inside the container, including the chairs. If you are observing a class, please remember the chairs are designated for the coaches on duty.
- Fuel all motorcycles at the end of class on Sunday. Facilities Services fills the gas caddy during the week, and it is beneficial if the caddy is at its lowest level at that time.
- The motorcycles should be returned to the container four wide and backed in, with the keys removed and fuel supply off (on the ones with gravity fed fuel valves.)
- The motorcycle keys should be placed on the properly labeled hook in the key lock-box inside the container. The number on the key chain should be readable. The key chain should also be stored inside the key lock-box and the lock-box locked before leaving each night.
- Incident Reports should be completed for ALL incidents no matter how minor. The report will need to be completed even in the event of no damage to the motorcycle or no injury to the student. The accident reports are located in the container. The Office of Workforce Development should be notified by a riderCoach when additional Incident Reports are needed.
- Should a student be injured and needs medical attention, contact 911 first, secondly contact NRCC security at 674-3646, lastly contact the site coordinator. The priority is getting medical treatment for the student, but the security office and site coordinator should be made aware of the issue as soon as possible. This is also why it is important to fill out an incident report ASAP following an incident. This is our documentation of what happened. If there is potential for injury resulting from the incident and the student refuses medical treatment then it is vital that you fill out the incident report ASAP and go ahead and ask another student to be a witness to the incident. An incident report should also be filled out if the student needs medical attention whether they leave in an ambulance of take themselves out of class. Ask another student to be the witness in that case as well. Even though the students sign a waiver and assumption of risk form, we still need to make sure we have every incident documented in case it is questioned at a later date. Use your judgment about letting a student continue in class if they refuse medical treatment but you feel their injuries are severe enough to impact their ability to safely continue.
- Chokes & fouled plugs - When starting the bikes in the mornings, consider starting the bike at the container and by the time you push them to the temp staging area, try backing the choke off. If it is really cold, go get the next bike and you should back the choke off of the first one by the time you return to staging with the second. The choke causes the engine to run rich and will foul the plugs on the smaller cc motorcycles very easily.
- Part of coaching includes helping keep the motorcycles in good running condition. This includes replacing fouled plugs and broken brake and clutch levers. We keep spare parts on hand for that reason. The parts/plugs should be labeled. If you are using spare parts, please note the quantity on hand and if we are running low (less than 2 spares on hand) please contact Shane so we can restock. Anything more difficult than changing plugs and broken levers should be left for repair after class and should be noted on an accident report or reported to the site coordinator. If you do not know how to change the spark plugs and levers, please contact the site coordinator and they will arrange a demo. When replacing spark plugs, please start threading the plug into the hole using your fingers only. If you can’t thread it with your fingers, then chances are you are cross-threading it. There is a black rubber hose in the tool box that can be used to start plugs in difficult to reach places. You should NEVER start threading the plug with a wrench.
The site coordinator will check tire pressures on all bikes periodically, but you should pay attention to the tires and check any that are questionable and at a minimum spot check some of them before class.
- Since the container has been relocated, we do exercise #1 near the container and then have the students straddle walk the motorcycles down to the range for exercise #2. It is important that they straddle walk the motorcycles for stability and not walk beside them. Also, the students should be instructed to practice smoothly applying the front brake as they straddle walk from Ex #1 to Ex #2. The VRTP has agreed that the distance from the start of Ex #1 to the range for Ex #2 is sufficient for their recommendation that we straddle walk 1/2 way around the range.
- While conducting an exercise, please refrain from setting up cones for the next exercise that will interfere with the path of travel of the current exercise, or are close enough to the path of travel to confuse the students. VRTP guidelines indicate that NO cones should be set up for an upcoming exercise while the current exercise is still being conducted.
- The fire extinguisher is now mounted on the back of the wagon. Please ensure that it and the first aid kit are always taken to the range/canopy during class.
